Job Responsibilities
-Advance dates for celeb and his band *At least 1 month ahead of time, make contact with the venue. Introduce yourself and get some basic info: production contact, accommodations/hospitality contact, box office contact and hotel contact (if applicable). Find out the nearest airport, how far the airport is from hotel and how far hotel is from venue. **If the contract states that the venue will not pay for hotel or ground, it is your job to arrange for these things. Ask the venue where they would recommend putting the group (hotel) or if there is a ground transportation company they can suggest. You then call and arrange for a rate. You may need to shop around on rates sometimes. At hotels, contact the group sales department. When arranging for hotel, be sure to do a credit card preauthorization form. Room and tax should be paid for everyone and incidentals should be paid for celeb. NOTE: It is very important to check and double check and even triple check things. Call to confirm that faxes and e-mails are received. Especially when dealing with hotels or ground transport companies. Get confirmation numbers whenever possible and include them on the itineraries. *Begin to plan travel. Celeb's travel is usually done last since his plans change most often. Also, as he usually flies first class, his tickets can be altered without penalty and can be booked later. Get together a flight request outlining who has to fly on what date and preferred time. E-mail to travel agent. Once you have flight options, be sure to run them past tour manager (he speaks on behalf of the band in most cases). *Make sure Tour manager is in touch with the production coordinator for production advance. You handle advancing accommodations, ground transport, hospitality (catering) all according to rider. *When the contracts come in: review them. If any changes or amendments have been made you should run them past Tour manager or Celeb to be safe. Check with Tour manager with anything production oriented. Sometimes you can run stuff by Manager instead of bothering Celeb. Once the contracts seem ok, stamp them with Celeb??s signature stamp and return them to BOOKING AGENT. *Be sure to give out your cell number to as many people involved in the show as possible. Never give out Celeb??s number, if someone needs to contact him, they should call you and then you call him. This can mean phone calls very late at night or very early in the morning. When the group is traveling, you may want to have the phone near by while you??re sleeping just in case something goes wrong. Also you should always have a copy of the itineraries with you. Travel Agent is a very good ally as he will answer your calls and help with travel changes. He has gotten up with me at 6 AM quite a few times! *Keep track of comp ticket requests. Get final list to box office manager week of show. Also, you may have to check in with the box office for ticket counts to decide level of publicity efforts. *Put together itineraries according to the model (or create your own format). The band prefers to get these about 7 days before they are scheduled to leave. Celeb gets a separate itinerary than the rest of the group. A copy of Celeb??s itin should be sent to celeb??s wife, Manager. *Whenever new dates come in, they need to be added to the tour schedule. Make sure everyone (band, managers, agents, everyone at JAG, business manager, Celeb??s wife) gets a copy. Periodically you should also update the contact information and send to everyone mentioned above. *Update information for the website. This includes getting webmaster updated tour schedules, details of any media Celeb is doing, etc so she can post it. *Personal tasks for Celeb and his wife. This includes: personal travel, running errands, picking up items and much more!
